Ideal Solutions Media and Technology Ltd is registered in England and Wales under company number 13113694, with its registered office at 1 Meridian South, Meridian Business Park, Leicester, LE19 1WY. In this policy, “we”, “us” and “our” mean that company.

We are the data controller for personal data collected through this website. This policy explains what we collect, why, how long we keep it and what you can ask us to do about it.

What we collect

• Enquiry details. When you use the contact form we collect your name, company, email address, telephone number if you give one, the subject and budget you select, and whatever you write in the message.
• Correspondence. If you email or call us, we keep the correspondence and any notes we make about it.
• Technical data. Our web server records IP addresses, browser type, pages requested and timestamps in its ordinary access logs.
• Analytics. If analytics is enabled on this site, it records aggregated information about how pages are used. Where that involves non-essential cookies we ask for your consent first.

Why we use it, and our lawful basis

• To answer your enquiry and take steps towards a contract. Lawful basis: steps taken at your request prior to entering a contract, or our legitimate interest in responding to business enquiries.
• To deliver and support the services you engage us for. Lawful basis: performance of a contract.
• To keep our systems secure and working. Lawful basis: our legitimate interest in protecting the site from abuse and diagnosing faults.
• To meet our legal and accounting obligations. Lawful basis: compliance with a legal obligation.

How long we keep it

• Enquiries that do not become work: up to 24 months from the last contact.
• Client records: for the duration of the engagement and then 6 years, to cover the limitation period and our accounting obligations.
• Server access logs: normally no more than 12 months.

Who we share it with

We do not sell personal data and we do not share it for anyone else’s marketing. We do use service providers who process data on our behalf under written terms, which typically include our website host, our email provider, our accounting software and, where relevant to a project, cloud infrastructure providers. We will name the current list on request.

We may also disclose information where we are required to by law, or to establish, exercise or defend legal claims.

Transfers outside the UK

Where a provider processes data outside the United Kingdom, we rely on UK adequacy regulations or on the International Data Transfer Agreement or Addendum, together with any additional safeguards the transfer requires.

Your rights

Under the UK GDPR you have the right to be informed, to access your data, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to processing, and to data portability where processing is automated and based on consent or contract. Where we rely on consent, you can withdraw it at any time without affecting processing that has already happened.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113.
